What Are Artist Avails? How Concert Dates Move From Availability to Confirmation

Booking has a private vocabulary for degrees of commitment, and avails sit at the bottom of it. When a buyer asks an agent for avails, they are asking which dates in a period the artist could in principle play a market. The answer reserves nothing, promises nothing and costs nothing. Everything that follows — holds, offers, challenges, confirmation — adds a little weight, and the sequence on this page marks where each increment falls.

Definition

A published booking glossary defines checking avails as researching an artist's availability to play an event at a certain location on a specific date ¹. The phrase covers two directions. A buyer may check avails for an artist they want; an agent may circulate avails for an artist who is routing through a region and needs dates filled. In both cases the avail is a statement about the calendar, not about terms. An artist with avails in a market in October has not agreed to play there, has not agreed a fee and may have several buyers checking the same dates.

The sequence

The sequence on this page runs from routing window to show advance in eight steps, and the avail step is highlighted. The routing window is the agent's: a period and geography in which a run could happen. Checking avails narrows it to specific dates. Placing holds — the glossary's phrase for reserving tentative dates on a venue's and an artist's calendars — is the first step that touches a calendar, and where the numbered-hold convention is used, the holds are ordered ¹. The offer is the first step that names money. A challenge, when a party behind in the hold order is ready to confirm, forces the holder to confirm or release; the glossary says a challenge typically carries a 24-hour deadline and that the challenging party should state how long theirs runs, which is that glossary's stated convention rather than a rule, and party and house practice control ¹. Confirmation is the artist's acceptance of an offer for agreed terms. Contract and deposit follow, then the advance.

Each step is reversible until confirmation and, in practice, expensive to reverse after it. An avail can be withdrawn silently. A hold can be released by either side. An offer can be passed. A confirmed date that falls out costs somebody a deposit, a marketing spend or an announced show, which is why a confirmation is treated as the moment a date becomes real even before the contract is countersigned.

Why avails come in blocks

Avails are rarely single dates because tours are rarely single dates. An agent routing a run needs a sequence of markets that fit together geographically and financially, and a date in one city is only worth confirming if the dates around it hold. That is why a buyer checking avails is often told that a date works only if a neighbouring market confirms, and why a single release can unwind a run. Who does what

The agent controls avails and holds on the artist's side and receives offers; the buyer or promoter checks avails, places holds on the venue side and authors offers; the manager is usually consulted on whether a market and a fee make sense but does not hold the calendar. What is not documented

No public source records how many avails become holds, how many holds survive a challenge or how many offers are confirmed. Calendars are internal to agencies, venues and promoters, and nothing about them is filed anywhere. Claims about conversion rates between booking stages are therefore unsupported, and this page makes none.
